Process optimisation & automation with AI

Work that runs itself.

We look at where time disappears in your business — and automate exactly those workflows with artificial intelligence. Chatbot, website, social media, customer service, quotes, reporting. As consulting. Or as consulting and implementation.

The approach

The process first. Then the tooling.

Most AI projects fail on a question, not on technology: where would we even start?

So we reverse the order. Nothing begins with software. It begins with a sober map of how your work actually runs: who does what, how often, how long it takes, and where somebody waits for somebody else. Only once those numbers are on the table do we decide which workflow gets automated — and which is better left alone.

The result is not a toolkit. It is a company where routine runs in the background and your people do the work that needs people.

What this looks like in practice

Three typical workflows, before and after. The views show how such solutions are built — the exact shape always follows your own processes.

Chat window on a website: an AI assistant answering a customer question about services
Use case 01

The assistant that works at night

An assistant on your website and WhatsApp that knows your services, prices and opening hours, asks the follow-up questions and leaves a qualified enquiry in your inbox. It speaks in your voice — and hands over to a person the moment something is delicate.

Before

Enquiries pile up overnight. In the morning somebody answers the same question for the fifth time.

After

Standard questions are answered instantly. Only the cases that really need you reach your inbox.

Weekly content calendar with prepared posts and publishing times
Use case 03

The calendar that fills itself

Your topics turn into post drafts with image and copy, slotted into a weekly plan. You approve — publishing happens at the right time, on every channel, without anyone scheduling posts on a Friday evening.

Before

Content planning eats half a day every week. In busy weeks it is dropped entirely.

After

The plan is there on Monday. You review and approve — the rest runs on its own.

Social media in detail
KPI dashboard with revenue, orders, new customers and revenue trend
Use case 07

The report nobody builds

Figures from your systems come together automatically, get checked and are published as an overview — with a short written read-out alongside. Anomalies raise their hand instead of waiting in a spreadsheet for someone to notice.

Before

Every month somebody exports data, pastes it together and formats a spreadsheet.

After

The analysis is ready before anyone asks for it — and explains itself in two sentences.

How to engage us

Consulting — or consulting and implementation

Both start the same way: mapping your workflows and producing a prioritised roadmap. After that you decide whether you build it yourself or we build it for you.

Model A

Consulting

We show you the way — your team walks it.

  • Process mapping: who does what, how often, how long
  • Every use case rated by effort and impact
  • Prioritised roadmap with sequence and effort estimate
  • Recommendations on tooling, data protection and data flows
  • Training for your team on working with AI day to day

Outcome: you know exactly what pays off, in which order — and can start without us.

How we work

Four steps from manual work to automatic

Phase 01

Process mapping

We look at what actually happens — not what the handbook says. Tasks, frequencies, waiting times, handovers.

Phase 02

Potential & roadmap

Every workflow gets a number: cost today, cost afterwards. That sets the order — biggest lever first.

Phase 03

Implementation

We build the automation, connect your systems and test against real data. It goes live once it holds.

Phase 04

Operation & expansion

We measure, sharpen and take on the next process. One success becomes a system.

Why NexTao

We automate what adds up

Most providers sell tools. We start with your workflows — and only build once the maths works.

01

Process before tooling

We do not hand you a model and wish you luck. First we measure what a workflow costs today — then we decide whether and with what it gets automated.

02

Honest about the no

Where AI causes more trouble than value today, we say so. One use case fewer beats a system nobody uses.

03

You keep everything

Accounts, access and data run in your name. You stay able to act, with or without us.

04

Data protection up front

Who sees which data is settled before we start — including the paperwork for your record of processing activities.

05

Start small

One workflow, live quickly, measurable. The first success usually funds the next step.

06

One point of contact, from analysis to operation

The same people who mapped your processes build the automation and support it day to day. Nothing is lost in handover between advice and delivery — and you always talk to someone who knows your business.

Frequently asked

What companies ask before starting.

What does AI process automation actually mean?

It means a recurring task somebody does by hand today runs on its own afterwards. An enquiry is captured, sorted and answered. An invoice is read and posted. A report is waiting on Monday morning. AI takes over the steps that used to require a person — reading, understanding, drafting, deciding by rule.

Is this worth it for a small company?

Especially there. If you have ten people, five hours saved per week is felt immediately. We deliberately start with a single workflow that occurs often and has few exceptions — quick to build, immediately measurable, and it usually funds the next step.

What is the difference between consulting and consulting with implementation?

In consulting we map your workflows, quantify effort and impact for each use case and hand over a prioritised roadmap with recommendations — your team can start from it on their own. With implementation we also build the automation, connect it to your existing systems, test it against real data and support it in operation.

Do we have to replace our software?

As a rule, no. We build on what you already use and connect systems through their interfaces. Replacing a tool only comes up when it offers no way in at all — and we say so before we start, not halfway through.

How do you handle data protection and GDPR?

Before anything goes live we establish which data flows where. Where possible we process within the EU, keep personal data out of the model, and supply what you need for data processing agreements and your record of processing activities.

How long until we see something?

The process mapping produces a workable roadmap after a handful of sessions. The first automated workflow is typically live in weeks rather than months, because we start with one clearly bounded use case instead of a programme.

What does it cost?

The first conversation, including an initial assessment, is free and without obligation. After that you receive a fixed-price quote — for the consulting, and separately itemised for the implementation if you want it. You decide after the roadmap whether we carry on.

Let’s talk

Which workflow costs you too much time?

Describe it in two or three sentences. You will get a free, no-obligation assessment: whether and how it can be automated — and roughly what that means.
